A message from Brian Todd, MD, Care Data Systems / donorflex

Dear donorflex friends,

donorflex lockdown by your side logoIn light of recent developments surrounding Coronavirus disease (COVID-19), I want to share an update on the specific steps that we’re taking at Care Data Systems (donorflex) to ensure our team and customers are safe, and to continue delivering the support services you rely upon to keep your own cause moving.

As you know, in line with Government guidance, we’ve closed our Kings Norton offices to all except a skeleton staff, who are operating from different areas of the building to honour the social-distancing advice.

Client support

All other staff are working from remote locations and are well-equipped to deliver our usual high standard of support using one or more of these solutions, as appropriate:

  • Diverted telephone calls via the 0121 458 7887 number you already use
  • The usual email address for Helpdesk (support@donorflex.com) and those addresses for your familiar client support consultant
  • The remote-control element of Remote Desktop Services (we’re staying connected with our own network from 14 different locations this way)
  • GoToAssist
  • TeamViewer (although we appreciate not all clients can use this)
  • Zoom video conferencing
  • Microsoft Teams

If remote work isn’t possible – where safe, within Government guidelines, and deemed to be absolutely necessary – we may still visit a client’s site. However, this will be reviewed on a case-by-case basis.

So, please be reassured that the donorflex team remains fully operational and focussed on ensuring that the level of service you already enjoy hasn’t been affected. In other words, business as usual.

General administration

Where possible, we ask that any payments should be made by BACS and not cheques, and all items of mail be should be scanned and sent via email rather than the Royal Mail.

We will send invoices, credit notes and so on to you by email. We simply ask that they are forwarded to your Finance department on our behalf.

donorflex alerts

We’ve always limited the number and frequency of email alerts sent to our friends and partners in the world of donorflex. You’re busy enough without us adding unnecessarily to the demands on your time and attention.

It’s an approach that we’ll maintain, safe in the confidence that, if you see a donorflex alert in your inbox, you’ll know that it conveys important information.

If you don’t currently receive such emails, and you would like to do so, please let us know via media@donorflex.com. All we need is your name, role, and preferred email address.

Visiting Care Data Systems

Until Care Data Systems’ offices are on the way to being fully operational again, we’re discouraging visits.

The health and safety of our team, our families, and our clients are the highest priority. We continue to encourage everyone to follow the preventive measures recommended by the Government and the NHS.

Rest assured, our 32 years of experience means that Care Data Systems is well positioned and prepared to work through this pandemic. We ask for your patience – as you ask for ours – and will continue to communicate any updates and other measures we’re taking as the situation progresses.
