Which course to be a better user? 

Our training is more than just a run through donorflex, module by module, or a repeat of what you can read in the help guide. That approach would teach you what buttons to press, but not how to make the most of the system.

Instead, we take you into the heart of donorflex to show you how and why combining your use of various modules will turn your inspiration, ideas and energy into results.

Below, you’ll find a summary of our most popular courses. There’s something for everyone but, if you don’t find what you’re after – or you believe that booking some bespoke training for you and your colleagues is the most effective, efficient and budget-friendly way to go – simply call Irena Bragg on 0121 458 7887 or visit the Contact page and send us an email.

donorflex Terms & Conditions

These Terms and Conditions apply to all Care Data Systems training and user events. By booking, you’re deemed to have accepted them:

1. You may redeem training voucher/s to deduct £75 off scheduled donorflex training modules (except donorflex overview sessions) or dedicated training either on site or at Care Data Systems training facility in Birmingham.

2. Training vouchers cannot be redeemed against any other product or service from Care Data Systems (for example, regional user roadshows, seminars or user conferences).

3. Training voucher redemptions MUST be stated at time of booking, as vouchers cannot be redeemed once the transaction has been processed by Care Data Systems.

4. A maximum of one training voucher per delegate redeemable at any training module.

5. A maximum of two training vouchers redeemable against any dedicated training day (not per delegate).

6. Your payment must be received before the event.

7. We reserve the right to cancel or reschedule any course without prior notice. We will endeavour, where possible, to give notice of any cancellation.

8. Our cancellation policy is as follows. No refunds will be given for places cancelled within eight working days of the scheduled training or user event date.

Easing a beginner into donorflex

Staff changes and reshuffles are a fact of third-sector life. There’s a lot for new people to get used to: new colleagues, new guidelines, new targets, and a new system.

Our two-part Ease yourself into donorflex course is designed to help new members of staff find their feet.

The two sections of the course focus on Donor Management and Donation Profile. You can attend either both the modules, or just the Donor Management element of the course. We don’t advise delegates to attend just the Donation Profile part of the course, so that isn’t offered as an option in the booking system.

The hands-on morning session focuses on all aspects of donor creation and profiling. The afternoon concentrates on managing your supporters, with a particular eye on building a picture of what makes them tick, developing your relationship with them, maintaining contact via your integrated word processing and e-mail applications and, of course, the all-important question of their Gift Aid eligibility.

Datastream: Control the web and flow

Datastream is donorflex’s powerful data-mapping utility that allows you to take structured data in one format and transform it into a donorflex-importable file, then import it directly into donorflex, saving the costly time of continuously repeating the task in Excel.

In order to use Datastream’s full-blown features, we require clients to book paid-for training so that we can support you in your use of the facility.

That means that you must ensure that your Datastream training delegate is skilled in the use of MS Excel. Training will proceed at a speed that assumes they are.

JustGiving module (overview)

Every new donorflex development is driven by the same objective – the desire to provide the functionality that makes life in fundraising offices around the country more efficient and rewarding.

Every donorflex client now has the ability to retrieve data stored on JustGiving, via the internet, for processing into donorflex. This is not a hands-on session.

Campaign management explored

This course is designed to show you how to make the best of donorflex’s fantastic campaigns functionality.

With this skill-set, you’ll be able to accurately and efficiently segment your data for targeted campaigns, and then analyse the profitability of those campaigns.

If your organisation follows the principles of the ’donor journey’, then this is a course not to be missed.

donorflex Lottery beginners

This course is specially designed for your lottery team, so that they’re equal to the task of creating new lottery players, processing lottery plays, and searching using the module’s integrated enquiry functionality.

It will give your lottery staff all the insights they need to administer the basic day-to-day running of your lottery.

Please note that this course requires each delegate to have a good understanding of the basic operations and functions of donorflex, such as:

  • Creating and amending records
  • Profiling supporter records
  • Processing transactions
  • Running enquiries
  • Working with mailing files, and
  • Merging to letter templates

For delegates who are new to donorflex, we would expect them to have attended the donorflex Beginners course before this course.

Making the most of Merchandise

All eyes turn to Christmas for fundraising operations, once your summer events have happened – and vice-versa.

So there’s never a better time than this to find out how the Merchandise module can make the festive or sunshine seasons a pleasure, not a problem.

In fact, though many organisations take their first step into Merchandise by looking first at how they sell their Christmas cards, it enables your charity to organise and run its retail operation throughout the year.

It adds a key dimension to donor relationship tracking by providing an insight into the type and value of products your supporters are willing to buy – and includes the opportunity to manage so-called virtual gifts and marginal donations.

Organised Events makes the difference

Your events help you raise much-needed funds, and give you a way to spread the word about your organisation to existing and would-be supporters.

But the workload these events represent can be huge, and the margin for error is non-existent.

Your first task is to cover the cost of staging the event. The next is to make it such a success that your supporters will want to come back, year after year.

This is where donorflex’s incredible depth, breadth and flexibility play their part. Organised Events, Biography, Communications, and Attributes combine to let you plan the event, target your attendees and sponsors, organise your volunteers, keep them up to date with the latest news, and make sure the big day goes according to plan.

After that, your data’s there to evaluate the success of the event, and play a vital part in preparing for the follow-up.

The Organised Events course is just the ticket for an events team that knows the importance of great planning and spot-on execution.

Importing and exporting data the easy way

Gain hands-on experience exporting data from, and importing data into donorflex with this practical training course.

The course focuses on what data can be brought into donorflex, and talks you through the rulebook on structuring that data in the right way.

It also helps you navigate the different donorflex functions that ensure data accuracy and protection from data duplication. It covers:

  • Issues such as refreshing existing donor details, creating new donor records, and bringing in donations
  • The more commonly used import processes, as well as discussing the less frequently used import functions

The course will cover significant ground and requires attendees to be familiar with using donorflex to run enquiries and produce both mailing files and transit files.

You’ll also need basic computing knowledge and the ability to manipulate data in Excel (or equivalent spreadsheet experience).

It’s intended for database administrators or other advanced users who are tasked with exporting data from, and bringing data into, donorflex, and who wish to understand all the issues.

Database Administrator: The key to your success

The role of the donorflex Database Administrator is integral to your organisation’s success with donorflex. It involves taking a lead role in the review, writing, and execution of the data policy and coding framework that are the foundations of your database, both during set-up and in the future.

This course will give you insight into, and experience of, each aspect of the Database Administrator’s role and responsibilities, illustrating how vital they are to the operational and future strategic success of your organisation.

donorflex awareness and overview

Our free donorflex overview course is designed to increase awareness among your users – whether they’re new to the organisation or just the role – of what the database is capable of doing for your mission.

We look at the full scope of functionality in a course that’s particularly pertinent when it coincides with new releases.

These sessions run with a minimum of three and maximum of six delegates.

Profiling: Managing people, managing processes

At donorflex, we know that running a successful fundraising operation is about more than just maintaining a database of individual supporters.

More and more organisations look to major donors and trusts for support, particularly with high-profile campaigns and capital projects.

Winning their confidence and backing takes hours of meticulous research and planning, because understanding the rhythm and detail of their corporate and trust processes is an absolutely essential part of your path to success.

Likewise, the lifeblood of many charities is its army of volunteers, that body of men and women who put their skills and interests at your disposal.

The Managing people, managing processes course shows you how to deploy donorflex’s profiling capability so that you can plan and track a trust application process as efficiently and accurately as a team of volunteer drivers or shop staff. Once you’ve learned how it works, you’ll wonder how you ever managed before.

Template and mail-merge management

For many supporters, the right personalised thank-you letter dropping on to their doormat, or the timely reminder arriving in their e-mail inbox, is the best way to show your gratitude and professionalism. The donorflex Communications module can manage the entire process.

If you’re among those for whom the prospect of using MS Word to create mail-merge documents isn’t exactly appealing, you’ll want to know how to master the whole process.

From setting up the template to sending a batch of letters to the printer, this course will show you how to use donorflex to make your day more productive.

Reports: Digging for gold in your data

Good data is worth its weight in gold. Unreliable data is worth nothing.
This is where the true power of donorflex comes into its own.

The Data retrieval and analysis course shows you how to combine donorflex’s enquiries and reports to generate the filtered information that allows so much more to happen your campaigns, your events, your Gift Aid, your payroll givers, your retail operations. The list goes on.

But there’s more. Through donorflex’s suite of Tracker reports, you can focus on the figures that will help you to identify your strategic targets and achieve your objectives.
The centre-piece of the course is Gift Aid. You’d be surprised how many organisations are sitting on a pot of gold, and don’t know it.

Collecting Boxes, Legacy, Info Requests, Events & Pledges

Four key areas of donorflex in the space of one session? You can’t squeeze much more value than that into one morning or afternoon.

This course is designed to give you insight into, and experience of, each aspect so that you can begin to see the role they can play in your organisation’s success.

More and more organisations are using collecting boxes as a way to increase reach and visibility within their communities, so the first element of the course demonstrates how easily – and how fruitfully – a collecting box programme can be run.

Legacy income is also becoming a major focus for charities as they develop long-term relationships with supporters and their families.

Finally, Information Requests and Events & Pledges. These two modules often run hand in hand. The former lets you record and monitor supporter requests for information, and provides a valuable recall facility to support follow-up activity.

The latter, Events & Pledges, allows you to track events organised on behalf of your organisation by your supporters, as well as pledges made by donors to make donations. This module’s also the ideal vessel for recording Foreign Currency Donations because, until the money can be exchanged, you only have the knowledge that you’ll be receiving a sum of money.
