Below, you’ll find a summary of our most popular courses. donorflex Terms & Conditions

These Terms and Conditions apply to all Care Data Systems training and user events. By booking, you’re deemed to have accepted them:

1. You may redeem training voucher/s to deduct £75 off scheduled donorflex training modules (except Datastream overview sessions) or dedicated training either on site or at Care Data Systems training facility in Birmingham. See below for other specific exclusions.

2. Training vouchers cannot be redeemed against any other product or service from Care Data Systems (for example, our special-rate bite-size training and consultancy / regional user roadshows / seminars / user conferences). 

3. Training voucher redemptions MUST be stated at time of booking, as vouchers cannot be redeemed once the transaction has been processed by Care Data Systems.

4. A maximum of one training voucher per delegate redeemable at any training module.

5. A maximum of two training vouchers redeemable against any dedicated training day (not per delegate).

6. Your payment must be received before the event.

7. We reserve the right to cancel or reschedule any course without prior notice. We will endeavour, where possible, to give notice of any cancellation.

8. Our cancellation policy is as follows. No refunds will be given for places cancelled within eight working days of the scheduled training or user event date.

donorflex for beginners

This is a hands-on course (10am-1pm and 1.30pm-4.30pm)
The two sections of the course focus on Record Management and Income Management. You can attend either or both modules. However, if you choose the Income Management course on its own, we’ll need your confirmation that the delegate already has the appropriate experience of the ground covered by the Record Management course.

  • Record Management: The morning session (10am-1pm) focuses on all aspects of record creation, profiling and communications management.
  • Income Management: The afternoon session (1.30pm-4.30pm) is an Income Management module that will train the attendee to process income into donorflex, using the full range of Income Management tools, except for importing data. Basic Gift Aid procedures are also covered

Course prerequisites: Basic keyboard and Windows skills
Cost: £450 per person for both, or £225 per person for a single course

  • If you’re booking on just one donorflex for beginners session, make sure you open the appropriate booking form for that specific module. If you plan to take part in both sessions, please book each module separately via both appropriate booking forms

Datastream Management Console

This is a hands-on course (10am-4pm)
The Datastream Management Console is donorflex’s powerful data-mapping function that enables you to define rules to repeatedly take structured data in one format – for example, donations and / or event registrations captured on your website – and thus streamline repeated imports into donorflex. In order to access the Datastream Management Console, clients MUST book paid-for training so that we can support you in your use of the facility.

Course prerequisites: Familiarity with donorflex modules and skilled in the use of donorflex Imports and Excel. The pace of this course assumes delegates have these competencies

JustGiving module

This is NOT a hands-on course (10am-3pm)
This module equips you to become skilled in the transfer of data from and to JustGiving via their API. You’ll be guided through setting the module parameters, page coding, and processing donation and Gift Aid reports.

Course prerequisites: Familiarity with donorflex modules and skilled in the use of donorflex Imports
Cost: £400 per person

Organised Events Basics

This is a hands-on course (10am-1pm)
The Organised Events course covers creating events, managing event participants / teams and processing income / expenditure. Bulk Update and enquiry tools will also be covered.

Course prerequisites: Good knowledge of core donorflex functionality – that is, Record Management, Power Search and Income Management
Cost: £225 per person

Organised Events Advanced

This is a hands-on course (1:30pm-4:30pm)
This course covers importing specifically in the context of Organised Events. It looks at importing new records (including duplicate-checking), participants / attendees and income into the Organised Events module.

Course prerequisites: Good knowledge of the Organised Events module and core donorflex functionality – for example, Record Management, Power Search and Income Management
Cost: £225 per person

Imports & Exports

This is a hands-on course (10am-1pm, and 1.30pm-4.30pm – see individual dates below)
The course focuses on what data can be imported into donorflex, with specific emphasis on importing records (including duplication-checking) and income, plus insight into additional modular detail. Refreshing existing records and exporting data is also covered.

Course prerequisites: Attendees must be familiar with using donorflex, basic computing knowledge and the ability to manipulate data in Excel. The course is for database administrators or other advanced users who are tasked with exporting data from, and bringing data into, donorflex, and who wish to understand all the issues

donorflex Lottery Basics *

This is a hands-on course (10am-1pm)
This course covers creating and managing lottery players and plays, processing lottery income, and administering the draw, as well as searching using the module’s integrated enquiry functionality.

Course prerequisites: Basic keyboard and Windows skills

donorflex Lottery advanced *

This is a hands-on course (1:30pm-4:30pm)
This course covers the bulk update tools (for example, mass cancellation, managing residual credit), imports (players, including duplicate-checking and plays and bulk-processing income) and lottery reports.

Course prerequisites: Good knowledge of the core features of the donorflex Lottery module
Cost: £225 per person

donorflex Raffle advanced *

This is a hands-on course (10am-1pm)
This course covers identifying recipients, setting up the draw, and populating the draw with data. It also covers virtual tickets and preserving ticket ranges.

donorflex Raffle Basics *

This is a hands-on course (1:30pm-4:30pm)
This course covers managing raffle book / ticket returns, plus enquiries

* Note: These four modules are intended for organisations that have implemented the additional donorflex Lottery or Raffle modules.

donorflex upgrade course

This is NOT a hands-on course (10am-1pm, and 1.30pm-4.30pm – see dates below)
This course is for organisations planning to move from donorflex 10.2 to the current version, donorflex 11.1. It emphasises the new and enhanced features / functionality and offers guidance on preparing for the upgrade. It also focuses on post-upgrade tasks and information on best practice in the light of any changes.

donorflex Consent & Preferences

This is NOT a hands-on course (1.30pm-4.30pm)
This course introduces the Consent & Preference tools that allow you to record the individual preferences expressed by your supporters, based on the Marketing Channels defined by the ICO and Fundraising Regulator. Whether you’re an ‘opt-in’ or opt-out’ charity, donorflex can manage your needs. You’ll also learn how to use the database enquiry tools to select data, both for marketing purposes and for Consent & Preference analysis.

donorflex Gift Aid

This is NOT a hands-on course (10am-1pm, and 1.30pm-4.30pm – see dates below)
This course shows how donorflex manages Gift Aid, from the point of recording a Gift Aid declaration through to the Gift Aid submission and potential repayment of Gift Aid back into the supporter’s record. Although the donorflex team is not an authority on Gift Aid, we will endeavour to impart the training in the fullest of understanding of Gift Aid legislation.

donorflex Profiling

This is NOT a hands-on course (10am-1pm)
This course demonstrates how your charity can use donorflex tools to manage your multiplicity of relationships with supporters. It covers the ABC of profiling – Attributes, Biography and Cross references – plus Relationships, which were new to donorflex 11. It also shows the potential for profiling through the use of geographic area coding.

Database Administrator: The key to your success

This is NOT a hands-on course (10am-1pm, and 1.30pm-4.30pm – see dates below)
The DBA role is integral to your organisation’s success with donorflex. It involves taking a lead in the review, writing, and execution of the data policy and coding framework that are the foundations of your database, both during set-up and in the future. This course gives insight into, and experience of, each aspect of the DBA’s role and responsibilities, illustrating how vital they are to the operational and future strategic success of your organisation. Confidence and control are the order of the day. We’ll give you the skills to take on this challenging – but ultimately rewarding – role.

donorflex Overview

This is NOT a hands-on course (10am-1pm)
This free-of-charge overview is available to all client organisations wishing to gain insight about the functions and features donorflex offers. It’s aimed at Chief Executives, senior managers and trustees. Please note, it is NOT designed as a substitute for the donorflex Beginners course.

Campaign management explored

This course is designed to show you how to make the best of donorflex’s fantastic campaigns functionality. With this skill-set, you’ll be able to accurately and efficiently segment your data for targeted campaigns, and then analyse the profitability of those campaigns. If your organisation follows the principles of the ’donor journey’, then this is a course not to be missed.

Making the most of Merchandise

If your organisation struggles with stock control and managing sales of Fundraising Merchandise, this is the module for you. It adds a key dimension to donor relationship tracking by providing an insight into the type and value of products your supporters are willing to buy – and includes the opportunity to manage so-called virtual gifts and marginal donations. This course will demonstrate how to set up the Merchandise Module creating stock items, processing orders and sales. Although many organisations take their first step into Merchandise by looking first at how they sell their Christmas cards, it enables your charity to organise and run its retail operation throughout the year.

Collecting Boxes, Legacy, Pledges

Three key areas of donorflex in the space of one session? You can’t squeeze much more value than that into one morning or afternoon. This course is designed to provide insight into, and experience of, each module so that you can begin to see the role they can play in your organisation’s success.
This is a fantastic opportunity to learn more about making donorflex work for you.

Direct debit management

If you’re planning to manage Direct Debits in-house, this awareness-raising session should be regarded as a must-do part of your research. We’ll deliver a non-hands-on course that gives in-depth insight into how the donorflex module deals with Direct Debit management, so that you can return to your organisation and continue your planning in a clear and informed way.
